Magento product uploadsfrom your supplier’s spreadsheet

Send the spreadsheet exactly as your supplier sent it. We hand back a file laid out for the product import in Adobe Commerce and Magento Open Source. Every product is matched, the gaps are filled from sources you can check, and the formats are fixed so it imports first time. You check it, then import it.

How it works
  • Nothing goes live without your sign-off
  • Every value keeps its source
  • Your data is never shared

One supplier row for a king-size fitted sheet, as it arrived and as Magento’s import reads it. The product is an example. It assumes a store with color and material attributes set up and a root category called Default Category, as in Adobe’s examples, and the formats are Adobe’s own.13

How it works

  1. Send the file as it arrived

Any columns, any names, and no template to fill in. A SKU or barcode on each row is enough to start.

  2. We get it ready for Magento

Every product is matched to the real thing and checked against a source. The gaps are filled, the formats are fixed, and the columns are the ones Magento’s import reads, with the SKU first.1

  3. You check it, then import it

Nothing goes live without your sign-off. In your admin you run the import under System, Data Transfer, Import, and Check Data shows any problem before a single product changes.2

Where supplier spreadsheets break a Magento import

Magento’s import is strict about some things and quietly forgiving about others, and the forgiving ones do the damage. Each of these is in Adobe’s own documentation, linked below.

  • Categories that create themselves

    BeforeBedding > Sheets > FittedBeding/Sheets

    AfterDefault Category/Bedding/Sheets/Fitted Sheets

Magento writes a category as its whole path, which “includes the root category, followed by a forward slash (/) between each level”.3 It also makes any category it does not recognise: “New product categories that are specified in the import file are created automatically.”2 One misspelling in a supplier’s column becomes a new branch of your menu. So each product is filed into your own categories first, then written the way the import reads them.

  • Spec columns that vanish

    BeforeCol: WHITEMaterial: cotton sateen

    Aftercolor=White,material=Cotton Sateen

A detail only survives the import as an attribute your store already has. In Adobe’s words, if the file names one that is not defined, “it is not created and its values are not imported”.2 Supplier columns are mapped onto the attributes you have, with one spelling per value, so nothing disappears unnoticed.

  • Yes and No where Magento wants numbers

    BeforeYesNo

    After1 and 2

Whether a product is on sale is set in the product_online column, which takes 1 for enabled and 2 for disabled.1 A supplier’s Yes and No have to become those numbers before the import, not after.

  • Blank cells that may wipe your data

    Before(an empty cell)

    Afterthe column left out

When a file updates products, Adobe’s import page says the file’s values replace yours, “including the empty values for the non-required attributes”.2 Its CSV page says “Any blank columns are ignored during the import process”, and that an import needs only the SKU and the columns with changes.3 A file built that way is safe on either reading.

  • Images Magento cannot reach

    BeforeFS400_thumb.jpg

Afterhttps link to the full-size original

Magento takes an image either as a file in its import folder on your server, or as “the full URL for each image file” kept elsewhere, so a supplier’s bare file name or dead link brings no picture.4 We open every link before the file is built and swap thumbnails for the full-size original.

  • Codes too long to import

    BeforeHOLLINSBY-FS400-WHITE-KING-400TC-COTTON-SATEEN-FITTED-SHEET-UK

    Afterflagged before the import

A SKU can be up to 64 characters, and Adobe is plain about the limit: “A SKU longer than 64 characters causes import to fail.”1 Codes that will not fit are flagged for you before the import runs, rather than found by it.

What you get back

A Google Sheet or Excel file laid out for Magento’s import, with one tab per category and the same products before and after, so you can see exactly what changed.

  • Every product matched and checked

Each SKU or barcode is matched to the real product, and every source page is checked to confirm it shows that product.

  • The gaps filled, with sources

Missing specifications, descriptions and images are found on manufacturer and retailer pages. Every value keeps a link to where it came from, so anyone on your team can check it.

  • One spelling for every value

Freestanding, Free-standing and freestanding become the one word you choose. Your layered navigation then offers one option instead of three, and every future file lands on the same word.

  • Titles, descriptions and meta written from the facts

Product names, descriptions, meta titles and meta descriptions are written from the values already in the data, to length limits that are enforced rather than hoped for.

  • Images that will import

The full-size original behind every thumbnail, with logos, badges and duplicates removed and any format your store will not take converted, at a link we host for 30 days.

  • A score before anything goes live

One quality score for the file and a grade for each product, worst first, so you know what to look at. It warns and never blocks.

Questions

Questions Magento sellers ask

What Magento sellers ask before they send us a file. Anything else, ask us and a person answers.

Is this a Magento data entry service?

It does that job, with nothing typed by hand. Each product is matched to the real thing, and its specifications go in as attributes your store already has. The name, description, meta_title and meta_description are written from checked values to enforced lengths. Adobe’s guidance is a meta title under 70 characters and a meta description of 150 to 160, in a field that takes 255.

Do you upload the products to my Magento store?

No. The file comes to you, and you run the import under System, Data Transfer, Import. Check Data validates it before you click Import. You choose Stop on Error or Skip error entries, and how many errors are allowed before the import is cancelled, 10 by default. Each run is then kept in Import History, with the imported file and its error file to download.

Does it work with Adobe Commerce as well as Magento Open Source?

Yes. Adobe documents one product import for both, so the file suits either. Its guide does carry a note for Adobe Commerce on Cloud: when a file includes the categories or url_key column, URL rewrites are regenerated for every product in it, which lengthens the import and can cause timeout errors there. For large catalogues, Adobe advises leaving both columns out unless they are changing.

My supplier only sends product codes. Is that enough?

Yes, and in Magento the code is worth getting right. Adobe marks the SKU as the one required column and puts it first. Once a product exists, it is also the one field an import cannot change: “you can update all fields except SKU through import”. So each code is checked against the real product before it goes in, and the rest is filled from sources you can check.

Can you set up configurable products?

Yes. A configurable product is the one a customer picks options on. In Magento each size or colour behind it is “a separate product with a distinct SKU”, which can be kept out of listings with the visibility Not Visible Individually. The configurable_variations column links them, giving each variation’s SKU and values, such as color=red, size=xs. Every value is written in your attributes’ own spelling.

Will an import overwrite products I already have?

With Add/Update, the file’s values replace the ones in your store. Adobe’s pages disagree on whether a blank cell clears a value, so an update file should carry only the columns you mean to change. With Replace, matching products are deleted and created again from the file, so Adobe tells you to take care with it.

Can an import take a product out of a category?

Not with Add/Update. Adobe says multiple field values, such as websites or categories, “cannot be removed using the Add/Update import behavior”: a category missing from the file stays on the product. A wrong category from one file is therefore not undone by the next, so every product is filed into your own categories before the file is built.

What happens if a required value is blank?

It depends on the attribute’s default. On a new product, a required attribute left blank or invalid stops the row importing when there is no default, and takes the default when there is one. On an existing product, the old value stays. So a required value missing from the supplier’s sheet is found from a source where one exists, and flagged for you where none does.

Doing it yourself?

Everything on this page is written up in full on the blog, with Magento’s own pages cited, and every word of the trade is in the glossary in plain English.
