eBay item specifics: turning supplier spec columns into the aspects eBay requires

What eBay item specifics are, and why a supplier column is not one

A supplier’s spreadsheet for a range of throws arrives with a column headed Composition, holding “100% acrylic”, “acrylic knit” and “ACRYLIC”, and a column headed Col. holding “Grey/Charcoal”. eBay wants neither as it stands. It wants an item specific named Material with the value Acrylic, and one named Colour with a single value a buyer can filter on.

eBay item specifics are the structured details of a listing, each a name and a value. Which ones a listing needs depends on its category: “some Item Specifics are mandatory, some are recommended, and others are optional.”⁹ eBay UK’s Seller Centre names Fashion, Home & Garden, Toys & Games and Vehicle Parts & Accessories among the categories that require them.¹

They decide whether a listing is found: “When buyers apply filters to search results, only listings with matching information will be shown.”⁴ A throw with no Material value is missing for every buyer who filters on acrylic. eBay also calls completed item specifics “essential for being found on both eBay and external search engines”, and says certain ones make a listing more likely to appear in Google Shopping results.¹

So the job is a mapping: supplier column to eBay’s name, supplier value to eBay’s value, for every product in every category you sell in. eBay’s developer documentation calls an item specific an aspect; the two words mean the same thing.¹²⁹

Required, Recommended, Additional and Required Soon

eBay UK gives each item specific in a category one of three priority levels. Required ones, with Brand, Size and Colour as eBay’s examples, are “critical to the buyer experience”, and a new or revised listing without them “will be blocked”. Recommended ones improve buyers’ search experience, and eBay strongly recommends providing as many as you can. Additional ones help buyers know more about the item.¹

A fourth label, Required Soon, marks what is about to move up. It appears in the listing flow, and Seller Hub shows when each requirement starts, with a quick filter for listings that need action before then.¹ eBay’s Seller News of March 2021 described it as an indicator above the item specific, with the date.⁷

Only Required ones block, and two announcements from October 2019 add detail. When the requirements of 15 October 2019 began, eBay UK said Good ’til Cancelled listings would not be blocked on renewal.⁵ On 22 October 2019 it said Recommended or Additional item specifics that are not relevant to an item need not be filled in.⁶

Which Recommended ones to fill first is not guesswork. In the listing flow eBay ranks the non-required item specifics by buyer demand, “compiled from searches on the site over the past 30 days”.¹ Map those before whatever the supplier happened to fill.

Where eBay UK publishes the lists, and how often they change

eBay UK’s Seller Centre keeps a downloads page of requirements by category group, each round with a date and its own downloadable list.²

The page’s rounds end at 22 February 2023, so treat the downloads as a starting point; the listing flow and Seller Hub flag what applies to your own listings.¹ Changes have continued since: eBay UK’s Seller News for August 2026 said “We’re standardising fashion sizes” and asked sellers to update fashion listings that month.⁸

The lists are spreadsheets. The Home, Furniture & DIY file from the 22 February 2023 round has one row per category and item specific, and names six for Throws, under Home Décor: Colour, Department, EAN, Material, MPN and Theme.³ The throw later in this post is mapped against it.

Names change too. eBay UK’s announcement of 22 October 2019 reported one Required field for Size, replacing Shoe Size, Size (women’s), Size (men’s) and the like.⁶ When eBay changes an item specific, it moves your listings to the new term on renewal, relisting or revision only where there is an exact match; otherwise the update is yours.¹ A mapping written once and never revisited will drift.

The rules for a name and a value

eBay constrains both halves of an item specific. The rules are published in its developer reference and on eBay UK’s Seller Centre.

The rule that matters most for supplier data is about values, and it is advice rather than a block. eBay UK asks sellers to “use eBay’s suggested values as much as possible rather than creating your own custom values”, so that buyers find their items more easily.¹ A custom value such as “100% acrylic” is allowed; it is simply not what eBay asks for.²

Some accept nothing else. In eBay’s worked example for diamond rings, Metal Purity is SELECTION_ONLY, and 9k or 10k is allowed only when Metal is one of four kinds of gold.¹²

Why supplier columns fail, and the mapping that fixes them

Five things go wrong between a supplier’s spreadsheet and eBay’s item specifics.

• The header is not eBay’s name. Composition, Col., Mat., Finish, Range. Each has to be mapped to the name eBay uses, spelt its way, and one supplier column can feed two item specifics, or none.¹⁰
• The value is not eBay’s value. “s/steel”, “Stainless steel 304” and “SS” are one material spelt three ways. Left as typed, they reach eBay as three different values.
• Two values in one cell. “Grey/Charcoal” in Colour, “Oak/Walnut” in Material. Sent whole, each is one value that matches neither half; split, it fits only where eBay allows MULTI, so choose one by a rule you write down.¹⁰
• Non-values. “N/A”, “TBC”, a lone hyphen. They fill a cell and describe nothing, so they come out.
• Identifiers that are not what the column says. A distributor’s own code in a column called MPN, and a barcode Excel displays as 5.01235E+12, with digits to recover before eBay sees it. Values that break eBay’s rules “will not be recognized as product identifiers”.¹⁰ The check-digit test and the repair are in our guide to GTIN, EAN, UPC and MPN.

Here is one throw from a supplier file, mapped to the six item specifics that eBay UK’s 22 February 2023 list names for Throws.³

Theme and Department were never in the supplier file. That is where the work moves from reformatting to finding out, which is what product data enrichment means in practice: the value comes from the product itself, from the manufacturer’s page or the packaging.

Brand is not on that list, but it is eBay’s first example of a Required item specific.¹ The value must be an actual brand name, or Unbranded if the item has none, so a supplier’s company name (ACME HOME LTD), a distributor’s name or “Various” will not do.¹⁰

How to map a supplier file to eBay item specifics, step by step

This is spreadsheet work, in this order, because each step needs the one before it.

1. Put every product in its eBay leaf category. Once the category is chosen, “you must identify the aspects that are associated with that category”, so nothing can be mapped before it.¹² If the supplier’s categories are the problem, start with mapping supplier categories.
2. Get eBay’s list for each category. Download the file for the category group and check the listing flow for anything newer; for a large catalogue, eBay’s Taxonomy API reports which aspects are required and how their values are constrained.¹²
3. Map headers once, in a separate sheet. One row per supplier column: its header, the eBay item specific it feeds, and a note where it feeds two or needs splitting.
4. Split compound cells. Anything with a slash, an ampersand or a comma in a single-value item specific becomes two candidates, and your written rule picks one.
5. Fold each column’s spellings onto one value. List the distinct values, choose the canonical one, and prefer eBay’s suggested value where there is one.¹ The method is in normalising attribute values.
6. Clear non-values. “N/A” and “TBC” become blanks. EAN has its own rule, below.
7. Check identifiers. An EAN of 8 or 13 digits with a valid check digit, an MPN as the manufacturer writes it, and a Brand that is a real brand or Unbranded.¹⁰
8. Check lengths. No value over 65 characters unless eBay allows more for that item specific.¹⁰
9. Fill gaps on live listings, then watch the dates. Seller Hub’s Excel file lists active listings missing required, soon-to-be required or recommended item specifics; fill it from the drop-down values, save it as CSV and upload it.² Anything flagged Required Soon has a date: add it before then.¹

When the answer is not obvious

Ambiguity turns up in three places: a value that is not on eBay’s list, a product that varies, and a code you do not have.

When a supplier’s value is not on eBay’s list, look for the eBay value it is a spelling of before adding your own. “S/steel” is a spelling of Stainless Steel; “Charcoal” may belong under Grey. Add a custom value only when nothing on the list fits.

When one product comes in several colours or sizes, eBay’s model is one listing with variations, on its terms: the items must be closely related, variation details come from eBay’s list (size, colour and width are its examples), and the Brand must be the same throughout.¹¹⁰ In eBay’s example, a tap varying by Type could use Finish instead, but hammers, wrenches and screwdrivers varying by Type have to be listed separately.¹

When the missing code is an EAN, the trap is that eBay has said two different things.

Where an EAN does exist, it does more than fill a field. If eBay matches it to a product in its catalogue, the listing picks up that product’s details, item specifics included.¹⁰ A clean barcode column is the cheapest set of item specifics you will get.

What to do with the file you have

Folding matters on eBay because buyers filter on values: a Material column that says Acrylic on one row and 100% acrylic on the next offers them a choice of spellings, not of materials.

Start with the category, because the list depends on it. Get eBay’s list for each category group you sell in, build the header sheet before touching a value, and fold values column by column with eBay’s suggested values open beside you. Keep the EAN column to real barcodes or blanks, and let the listing flow decide what a blank becomes. Then put the Required Soon dates in the diary, because a mapping is only right until eBay’s next change.
